More than a list of tasks
A reliable office cleaning arrangement needs a clear scope, a workable schedule and a simple way to deal with changes. A long checklist is not useful if it does not match how the workplace is actually used.
The best starting point is to walk through the site and identify the areas that affect staff, visitors and day-to-day presentation.
A written scope
The scope should identify the rooms and tasks included. For many workplaces this may cover:
- Entry and reception areas
- Work areas and reachable surfaces
- Meeting and consulting rooms
- Staff kitchens and lunchrooms
- Bathrooms and amenities
- Floors and bins
- Internal glass where it can be reached safely
It should also state what is not included. Specialist floor restoration, external high-access windows, hazardous waste and work outside the agreed area may need separate assessment.
A schedule that fits the workplace
Cleaning should be arranged around the way the premises operates. A quiet office may suit an early morning or evening service. A clinic may need work scheduled around appointments. A retail or hospitality site may have different priorities each day.
The plan should state the service days, approximate arrival window and expected access arrangements. Public holidays, shutdown periods and after-hours contacts should also be discussed.
Security and access
Keys, alarms, security codes and restricted rooms need agreed handling. The business should identify who can approve access changes and who should be contacted if a problem occurs.
Confidential papers, personal belongings and equipment should remain outside the cleaning scope unless a safe process has been agreed.
Quality and communication
A practical cleaning plan names a contact for each side and makes feedback easy. Concerns should be specific: the area, the task and when the issue was noticed. This makes it possible to correct the work and adjust the scope if the workplace has changed.
Regular reviews are useful when staff numbers increase, layouts change or some areas receive more use than expected.
